We are seeking a dynamic and highly motivated Administrative Assistant to join our small but bustling office. The ideal candidate will be comfortable with and take pride in handling a variety of administrative and basic accounting tasks, ensuring efficient office operations, and providing exceptional customer service. This role requires someone who is detail-oriented, proactive, and not afraid to take ownership of their responsibilities without the need for micromanagement.


Basic Accounting Tasks

  • Process accounts payable invoices
  • Handle credit card receipts and reconciliations within the ERP system.
  • Manage and record financial transactions accurately

Administrative Support:

  • Ensure efficient office operations.
  • Assist with scheduling and calendar management
  • Support senior staff with administrative tasks as needed.

Customer Service:

  • Handle initial customer inquiries via phone or email.
  • Create and follow up on quotes and purchase orders.
  • Provide exceptional customer support, ensuring customer satisfaction.

Purchasing and Logistics:

  • Procure products from system companies.
  • Receive and book inventory.
  • Coordinate shipment preparation, including printing labels, customizing products, and ensuring timely dispatch.
  • Manage and track inventory levels.

Office Coordination:

  • Maintain office supplies and ensure a well-organized workplace.
  • Book travel arrangements and handle expense reports for staff as necessary.

Additional Duties:

  • Collaborate with other departments to streamline processes.
  • Participate in team meetings and contribute to office initiatives.
  • Handle any other tasks that support the company’s goals and operations.


  • Proven experience as an administrative assistant or in a similar role.
  • Experience with ERP systems and basic accounting practices
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and take initiative.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • A good customer service experience is a plus.
  • German and or Spanish language skills is a plus
